Introduction

AI Knowledge is where you store important context that Motion AI uses to give better answers. Think of it as a shared memory, you can keep information private to your own chats or make it available across your whole team. By adding company details, project notes, or role-specific information, you help the AI respond more accurately and save time repeating details.

How to set up private vs team knowledge

Choose whether the information you add to AI Knowledge is only for you or shared with your whole team.

  1. Open AI Knowledge from the left sidebar.

  2. Create an entry

  3. Click Add Private Knowledge when you want to create an entry just for yourself.

  4. Click Add Team Knowledge, when you want to create an entry for everyone within your team.

  5. Enter a Title and Content for your entry.

  6. (For team entries) Use the toggle Share with Team to confirm it’s visible and applied to everyone.

  7. Click Add to save.

💡 Pro Tip: Use Private Knowledge for personal notes or work-in-progress, and Team Knowledge for company-wide details like org charts, naming conventions, or project guidelines.

Manage snippets

How to create, edit, and delete snippets

Keep your AI Knowledge up to date by adding new information, making edits, or removing entries you no longer need.

  1. To edit an entry, click the three dots (…) next to it and select Edit. Update the text and save.

  2. To delete an entry, click the three dots (…) next to it and select Delete. Confirm removal — the entry will be permanently deleted and can't be recovered.

💡 Pro Tip: Keep titles short and descriptive (e.g., “Leadership Team” or “Company Mission”) so they’re easy to scan later.

How to manage entries at personal or team level

Organize AI Knowledge effectively by deciding what information stays private to you and what should be shared with your team.

  1. Open AI Knowledge from the left sidebar.

  2. Review your Private Knowledge section for entries that only apply to your own AI Chats.

  3. Review the Team Knowledge section for entries that apply across everyone’s AI Chats.

  4. To move or adjust visibility, edit an entry and use the toggle to switch between Private and Team.

  5. Keep team entries focused on company-wide or shared resources, while private entries can store personal notes, drafts, or role-specific details.

💡 Pro Tip: Regularly audit team entries — removing outdated information keeps everyone’s AI responses accurate and aligned.
