What is AI Chat and why this matters

Think of AI Chat as your command center. It combines the power of ChatGPT with everything inside Motion, so you can plan work, summarize notes, draft content, or locate projects just by asking in plain English. Ask for a plan, draft an agenda, or summarize a doc; all in one place, with Motion’s data already connected. AI Chat saves your conversations so you can pick up where you left off, and it always asks before making changes, so you stay in control.

AI Chat lets you work using simple, natural language; just type like you normally would. Instead of clicking through tasks and calendars, you can simply ask Motion to plan your day around what’s on your schedule.

  1. Click Chat or ask AI… in the top left (or press 'CMD' + '/').

  2. Type your request in plain English, such as: “Plan my day around today’s meetings.”

  3. Motion reviews your calendar and tasks, then creates a plan with focus blocks.

  4. Give each chat a name like "Plan my day."

  5. Change the chat name by hovering over and clicking on the 3 dots

    1. Click on Rename

💡 Pro tip: Be specific in your request. Mention what you’d like Motion to prioritize (e.g., “Plan my day around meetings and finish the Q2 report first”). The clearer you ask, the better your plan.

Use @ to pull context

AI Chat works best when you give it context. By using @ mentions, you can point the AI directly to the docs, projects, tasks, or users you want it to reference — no hunting for links required.

  1. In your chat, type @ and select from docs, projects, tasks, or users.

  2. Add it to your request, like: “Summarize @Q2 Marketing Plan” or “Prioritize tasks in @Product Launch.”

  3. Motion pulls in the referenced item and uses it to draft a sharper, more relevant response.

💡 Pro tip: Keep each chat focused on one goal (like planning your day or prepping a status update). That way Motion remembers the right context as the conversation continues.

AI Chat isn’t just for drafting — it can also help you extract insights and make sense of your work. Think of it as your fast track to clarity. You can ask questions about your docs, tasks, or projects, and Motion will summarize, highlight key points, or even flag what’s missing.

Here’s how it works:

  1. In your chat, type a question like: “Summarize the key action items from last week’s (Sept 8 - Sept 10) meeting notes that talked about XYZ project.”

  2. Motion responds with a clear summary — pulling out decisions, action items, and owners.

  3. Try other prompts to go deeper, for example:

    1. “Draft an FAQ from this product guide.”

    2. “Compare these two versions of the launch plan and show what changed."

  4. Review the answer. You can refine by asking for a shorter version, a specific format (like bullet points), or more detail.

💡 Pro tip: When you’re not sure where to start, just ask Chat to “pull the key points” — it works for almost any doc, note, or plan.

AI Chat helps you quickly break big goals into actionable tasks. It writes out task drafts with titles, objectives, due dates, owners, and priorities — so you don’t start from scratch. These drafts don’t directly create tasks in Motion, but you can copy them over in seconds and refine as needed.

  1. In your chat, type something like: “Break my Marketing Campaign outline into smaller tasks to get it ready for the Summer”

  2. Motion drafts the task for you, with details like:

    1. Title: Define summer campaign goals and KPIs.

    2. Due: Fri, Aug 22, 2025

    3. Priority: High

    4. Acceptance criteria: Campaign published with all new metrics, goals completed, and no TBDs left untagged.

  3. Review the draft. Update details like assignee, due date, or priority to match your workflow.

  4. Approve the draft by copying it into your workspace as a Motion task.

Draft and refine content

AI Chat can help you draft content quickly, whether it’s a meeting agenda, a proposal, or documentation. You can refine it in conversation until it’s ready — then copy the polished version into a Motion doc. While Chat can’t edit the doc directly, it gives you a strong starting point and saves time on revisions.

  1. In your chat, type something like: “Draft a status update for the product team covering this week’s progress and blockers.”

  2. Motion creates a first draft for you, with sections like:

    1. Progress this week

    2. Blockers and risks

    3. Next steps

  3. Review the draft in chat. Ask follow-up prompts like:

    1. “Add a section on customer feedback.”

  4. Once the draft looks good, copy and paste it into your Motion doc. From there, you can format or share it with your team.

💡 Pro tip: The more specific your ask (“Write a one-page doc proposing X with sections for goals, risks, and next steps”), the closer the draft will be to what you need.
