What is Inbox

Inbox is Motion’s central hub for notifications. Instead of juggling updates across tasks, projects, and docs, everything arrives here — organized by date, with unread items highlighted so you can act fast.

Here’s what Inbox gives you:

  • One place for updates → see assignments, mentions, project progress, AI Employee runs and more without switching apps.

  • Easy management → mark items read, save them for later, or clear them in bulk.

  • Automatic organization → old notifications are located in the unread tab, so you only see what’s current.

  • Growing capabilities → rolling out first with core task updates, and expanding to projects, notes, and more.

How to Access Inbox

Getting to Inbox is simple — and once you know where it is, you’ll use it often.

  1. In the sidebar: Click Inbox (look for the envelope icon 📥). A badge shows how many unread notifications you have.

  2. Unread count at a glance: The badge updates in real time, so you always know when something new needs your attention.

  3. On desktop or mobile:

    1. Desktop → Inbox is always visible in the left sidebar.

    2. Mobile → Inbox will appear on your navigation sidebar for quick access.

💡 Pro tip: If you’re working in a busy workspace, treat the unread badge like your “to-do counter.” Clearing it regularly helps keep your focus sharp.

Notification core actions

Notification Core Actions

Inbox isn’t just a list — it’s your launchpad into Motion. Here’s what you can do:

  1. Open a notification for context

    1. Click anywhere on a notification to jump straight to what it’s about.

    2. If it’s a task update, it opens the task.

    3. If it’s a comment mention, it takes you to the comment inside the doc.

    4. If it’s an AI Employee update, it opens the AI Skill run model so you can review results.

  2. Mark as read/unread

    1. The dot beside each notification shows whether it’s unread.

    2. You can mark an item as unread from the opened view if you want to come back later.

    3. Use the Mark all as read button at the top when you’ve caught up.

    4. You can mark it from read to unread if you want to come back to it again later.

    5. Keyboard shortcut for speed

  3. Hover over the message and press E to quickly toggle a notification’s read state. Handy when you’re clearing your inbox fast.

💡 Pro tip: Treat your Inbox like a lightweight to-do list. Clearing unread items keeps you focused and ensures nothing slips through the cracks.

Shortcuts to manage updates faster

Ex #1: Following a task update through Inbox

  1. New task assigned

    1. A teammate assigns you a task: “Review AI Knowledge How-To.”

    2. Inbox shows a grey badge with 1 new notification.

  2. Open Inbox

    1. Click Inbox in the sidebar.

    2. You see the new notification at the top, with a blue dot marking it as unread.

  3. Click the notification

    1. The task opens directly — no hunting required.

    2. You see all the details: status, due date, assignee, and comments.

  4. Take action

    1. If you’re ready, mark the task complete or leave a comment.

    2. Once viewed, the notification is automatically marked as read and the blue dot disappears in Inbox.

  5. Optional: Mark unread

    1. If you’re not ready to act, click Mark unread so it stays in your Inbox as a reminder.
