Skindays uses Motion to save time and finish projects that drive the most business growth

Skindays wanted to increase their startup’s focus and time management. After trying various costly and overwhelming project management tools, they found Motion. Skindays used Motion to decrease team friction, save money, and increase their productivity, communication, and focus.

The Challenge: Communicating and prioritizing work efficiently — without using an overpriced, overwhelming project management platform

As a small startup, everyone on the Skindays team has many different responsibilities and autonomy to complete work on their own. While this allows them to finish work quickly, it also created a problem. “We were always asking each other, ‘what are you working on?’” says Co-Founder Gemma Estrela. 

The team would often realize they were prioritizing tasks differently or working towards separate goals. On top of that, they weren’t sharing information and findings efficiently, which led to teammates doing duplicate work and not having access to important data. 

“A lot of things fell in between the cracks,” says Gemma. “It was very hectic. We’re a really structured team. But it’s hard to juggle so many things at the same time. 

These issues began impacting team morale and efficiency. “It was bringing a lot of friction,” says Gemma. “We were not working in a smart way, and we were not relying on each other for support.”

To solve these issues, Skindays tried a plethora of tools. “We’ve worked with Monday.com. We’ve worked with Asana. We’ve worked with Notion. Google Drive spreadsheets. All sorts of formats,” says Gemma.

In the end, none of these tools ended up being the right solution. Some of them were too complex. “I found them extremely overwhelming,” says Gemma. “I was not using all of the functionalities of the tool. And then, at the end, I gave up. I preferred spreadsheets, because I know how they work.”

Other platforms cost too much. “You start a 14-day free trial and you end up paying $300 per month,” explains Gemma.

Gemma couldn’t find a tool that solved their communication and prioritization issues in an affordable, easy-to-use way.

That is, until her co-founder Diana Stenbolt introduced Motion.

Becoming a more focused, efficient, and cohesive team with Motion

Diana first heard about Motion through online advertisements. Then, she saw YouTubers and bloggers recommending it. 

So she decided to give it a try. She signed up for Motion, started using it, and realized her whole team needed to try it. “She was like, ‘Guys! I discovered this tool,’” explains Gemma.

While Diana was thrilled, Gemma wasn’t sure about Motion initially. “I love discovering new tools, but when it comes to project management, I use notebooks, Google calendar, some post-its, and I didn’t think I needed anything else.”

But after seeing how Motion worked, she quickly changed her mind. “When you see how handy Motion is, you realize it's actually worth spending that time on getting used to the tool and onboarding all your tasks because it's helping you work more smartly.”

Here’s what Gemma and Skindays said they liked about Motion:

Calendar sync and time blocking

Most project management platforms store tasks in a siloed list or view within a project management platform. Motion does this, but also creates a daily schedule for users. The schedule is prioritized based on what work is most important, and Motion can even block time on each team member’s calendar to ensure they save time for each task. 

“The [Motion] feature I love the most  is the sync with the Google calendar and the time blockers,” says Gemma. “I love the blockers. It's not a placeholder; it's an actual blocker. So if someone tries to schedule a meeting when a task is on my calendar, they can't actually book it.”

(Pro tip: Each person on your team can customize their Motion calendar to their specific needs. Motion can block time on your calendar for tasks, or you can turn this feature off. And you can even choose whether or not others can schedule meetings over time-block tasks.)

Recurring tasks

Motion allows you to create recurring daily, weekly, or monthly tasks. It will then build a custom schedule to remind you of these tasks and make sure you complete them. “I love the recurring tasks,” says Gemma.

Views and dashboards

Similar to other project management platforms, Motion also provides project dashboards and views to see the status of work and tasks involved in any project. 

“The different views and the main dashboard view are very smartly built. You can tell they're built with the user in mind because you can filter by priority, by status, by area,” explains Gemma.

Individual, daily schedules for each employee

Gemma also likes that once you input a task or project in Motion, it doesn’t just sit in a siloed dashboard. Motion builds schedules for each employee to get the work done by deadline. 

“Once you input something in the system, it has a purpose. It’s optimizing my time spent while building my dashboards,” she says.

The Skinday team no longer wonders what each person’s priorities are. “I have visibility from end to end on what the team is working on,” says Gemma. 

They complete work that’s most important for the business faster. 

Motion’s daily plans have helped the Skindays team avoid distractions and focus. “I’ve learned to say no to last-minute meetings and tasks.”

On top of that, Motion helps them prioritize and finish important work. “Motion brings more structure to my day to day. It’s making me prioritize what really is important for the team and the business,” explains Gemma. “We can actually see where we spend our time and the impact of the work we did.” 

Tasks stopped slipping through the cracks.

Before Motion, the Skindays team would sometimes forget to complete important housekeeping work. With Motion, they no longer do. “Even our employees now are saying they don't forget about doing the housekeeping work that needs to be done,” says Gemma.

The Skindays team eliminated friction. 

While the team used to struggle with communication and occasional friction as a result, they no longer do with Motion. “We all work and support each other in our tasks. So I think, as a team, Motion brought us together. It brought focus. Friction is gone. We are all more aligned,” says Gemma.
